This role is tasked to manage all legal, regulatory and corporate controlled documents in accordance with all regulatory and statutory requirements. The requirement includes maintenance of the Compliance IMS Database in accordance with SMI Document Control processes and Compliance Obligations Monitoring and Evaluation System in compliance with ISO 140001:2015 standard.
This is a regular position, based in SMI’s office in General Santos City, reporting directly to the Compliance Supervisor. 

Key responsibilities:

  1. Sustainable Development Practices – Ensure effective use of the project’s safety and environmental-friendly standards and systems within own area of responsibility to positively contribute in nurturing the organization’s sustainable development culture and in Compliance to ISO140001.
  1. Records and Document Management
  • Implement and maintain the Compliance IMS Database in accordance with SMI Document Control procedure and standards.
  • Ensure all aspects of recordkeeping stick to SMI’s Document Control policy and procedure
  • Ensure safety and integrity of electronic and printed documents
  1. Record Preservation and Retention
  • Preserve records, documents and objects, copying records to film, video tape, audio tape, disk or computer formats necessary as well as by providing special storage intended for every type of multi-media document
  • Facilitate evaluation of records for preservation, retention and disposition
  • Work out periods for which records are archived or disposed of according to policy and legislative requirements
  1. Customer Relationship - Provide assistance to all SMI Departments with needed data the soonest possible time   
  1. Communication and Admin Support
  • Documentation of internal and external meetings
  • Provide admin support to the Legal and Compliance team

Key requirements:

  • A graduate of Library Science or any equivalent bachelor’s degree
  • At least 5 years of work experience in documents and records management
  • Must have good written and oral communication
  • Proficient in MS Office applications and database organization and maintenance
