This role is tasked to support Project Development Team through implementing effective document management and control processes from construction to mine operations; generating technical reports required for submission to Local and National Government Agencies; implementation of the new Document Management System in managing all the company records.
This is a regular position, based in SMI’s office in Manila, reporting directly to the Project Development Manager.

Key responsibilities:

Sustainable Development Practices – Ensure effective use of the project’s safety and environmental standards and systems within own area of responsibility to positively contribute in nurturing the organization’s culture on safety and environmental management.

Workplace Culture - Engage and support relevant customers, peers to help create a performance-driven workplace culture. This includes working cohesively with a multi-disciplined Project team.

Planning - The ability to closely track progress, commitments, budgets and actual expenditure.

Document Management and Control

  • Process drawings and documents for the Early Works, Continuing Development Program and the Project implementation.
  • Receiving, numbering, distributing and tracking project/study vendor documents
  • Tracking vendor documentation
  • Supervise data entry, scanning, photocopying, distribution and filing of project and corporate study documents.
  • Implement a centralized document management system for the whole organization.
  • Formulate and review policies, guidelines and procedure on Document Management according to the organization's needs and facilitate approvals.
  • Rollout and implement policies, procedures and guidelines for Document Management in alignment with the system to be used by the organization.
  • Conduct training and workshops
  • Preserve records, documents, and objects and facilitate evaluation of records for preservation and retention.

Reporting/ Technical Writing

  • Producing status reports from allocated project/studies on design deliverables and vendor documentation
  • Provide the Team with technical study report required by National and Local Government Agencies

Systems Management

  • Processing design documents and vendor data and manage Legal and Taxation Documents. Use of different document system application.
  • Maintain and manage SMI’s EMS and Internal Documents
  • Administer existing Document Management System and develop depending on the required standard of the organization.

Team Leadership

  • Develop and lead an effective team that will deliver the project development targets along SMI business plan
  • Once a month planning with the team to map targets and milestone and develop Action Plan for Document Control Team.

Customer Focus

  • Gives assistance to all Internal and External customer with their needed documents and information materials.
  • Provide required technical reports.
Key requirements:
  • Engineering Graduate or any relevant course.
  • Not less than 7 years practical experience in document management
  • Can generate manuals, policies, procedures and, guidelines
  • Must be able to conduct trainings and workshops to both Internal and External Customers
  • Must have profound knowledge and experience in technical writing.
  • Proficient in MS Office applications
  • Knowledge with Aconex, Prolog, SharePoint and Opentext System
  • Can administer Oracle and other database in managing documents.
